Sample identification, revision records and buyer approval references

Sample Management in China Without Losing Track of Changes

We label supplier samples, record requested revisions and keep the approved reference connected to the order before production begins.

Supplier sample versions labeled for review and approval

Version control

Every sample needs a name, a date and a history

Product sample management keeps physical items tied to the right supplier and revision. We label each arrival, photograph it and note the visible differences from the request. Buyer comments return against that exact version, not a loose description such as “the latest sample.” Once approved, the sample and written change list become production references. Inspection is still needed to see whether the finished order follows them.

Sample register

Give each physical item a traceable identity

Names such as “new sample” or “final one” quickly become ambiguous. A compact register keeps the physical item connected to the supplier conversation.

Sample version control example

Keep every change connected to the right sample

The path may repeat when a sample needs another revision. Each new version should answer the comments made on the version before it.

  1. 01Sample V1Label and photograph the first physical version.
  2. 02Buyer commentsMark changes against Sample V1.
  3. 03Supplier modificationConfirm how the supplier will make each change.
  4. 04Sample V2Check the new version against the comments and specification.
  5. 05ApprovalRecord what the buyer accepts and any remaining limits.
  6. 06Golden SampleLabel the approved physical reference for production.
  7. 07Mass ProductionUse the sample and written specification together.

The Golden Sample is not the whole specification. Materials, dimensions, functions, accessories and packing should remain in the written order record.

Translate buyer comments into checkable changes

  1. 1

Record the difference. Identify the dimension, material, function, color, logo or packing point.

  2. 2

Confirm the supplier’s interpretation. Use marked photographs, drawings or a short change table.

  3. 3

Check the next version. Compare it with both the original requirement and the last requested change.

  4. 4

Freeze the approval reference. Record which sample and written notes apply to production.

Consolidation and dispatch

Know what was packed before the parcel leaves

When samples from several suppliers are combined, we prepare a packing record with sample IDs, quantities and photographs. Courier details and tracking are linked to the same list. This helps the buyer identify each item on arrival and reduces confusion when feedback is sent days later.

Special handling, batteries, liquids, large items and customs declarations may require separate confirmation with the courier or freight provider.

Approval boundary

A good sample is evidence, not a production guarantee

The buyer approves the sample and written specification. ALF Supply maintains the record and can connect approved points to production follow-up and pre-shipment inspection. Laboratory testing, compliance decisions and engineering approval remain separate where required.

Make every sample traceable before approval

A sample should be identifiable after it leaves the supplier. Record the supplier, model, date, revision, color or finish, packaging state and the questions the sample is intended to answer. When comments are returned, link each change to the same sample history so that the next version can be compared rather than judged from memory.

Sample record

  • Sample ID and supplier reference
  • Version date and changes
  • Photos before shipment and on receipt
  • Buyer comments and supplier response

The approved sample is a reference for the agreed project; it is not automatically proof that every future production unit will match.

Useful starting information: Send the supplier name, product reference, expected quantity, destination and every change already discussed. If samples are already moving, include courier numbers and photographs of labels or cartons. For multiple suppliers, assign a simple code before dispatch. When the buyer approves a version, confirm whether approval covers appearance only or also material, dimensions, function, accessories and packing. This prevents a visual approval from being interpreted as acceptance of details that were never checked.

Written approval should identify the exact physical sample reference.
